Room Booking Terms & Conditions
Cancellation Policies
Bookings on our ‘Flexible’ rates can be cancelled by midday two days prior to arrival – with no charge. Rooms cancelled after this time will be subject to a charge of the full amount. In the event of non-arrival, the full stay will be charged.
Five or more room bookings for the same booker will be treated as a group booking whereby separate terms and conditions apply. For these Terms & Conditions please contact the relevant hotel.
Advance Purchase Rate/Deposits
All bookings are required to be guaranteed by either a credit or debit card or a deposit equivalent (at the time of booking). Bookings made on promotional, seasonal and advance purchase rates are non-refundable and non-transferable. Payment for the above rates can be taken at any point prior to arrival. In the event of non-arrival, the full accommodation amount will be charged with except of group bookings (5 or more rooms) whereby group Terms & Conditions apply.
Our Rates
We have a selection of rates available throughout Butcombe Pubs & Inns:
• Best Available (‘Flexible’) Rate including breakfast and VAT, cancellation/amendments are permitted up to 48 hours prior to arrival (price subject to individual hotels).
• Room Only, inclusive of VAT, breakfast charged as taken (price subject to individual hotels)
• Advance purchase, no refunds, where amendments or cancellations are not permitted and charged accordingly. Discounts rate varies and subject to availability (price subject to individual hotels).
Payment
Payment will be taken on the morning of arrival by the card number used to secure your booking, should you wish to use an alternative card you must notify the hotel prior to arrival or update the card details through express check in on the day of arrival.
Prices
All prices include service and VAT. Butcombe Pubs & Inns reserves the right to alter published prices at any time for non-confirmed/guaranteed bookings.
Methods of Payment

Butcombe Pubs & Inns’ preferred method of payment is by debit/credit card – cash in pound sterling is accepted in some hotels. Please note however that all payments made by cash will be charged on arrival and ID will be required in the form of a driving licence, passport or other photo ID verifying your address. Managers reserve the right to refuse anyone who does not have the required ID. Butcombe Pubs & Inns accept payment using the following credit and debit cards; American Express, MasterCard, Visa Credit and Vista Debit.
Third Party Bookings
Bookings via a third-party: for bookings made through an online booking platform (e.g. Booking.com, Expedia) or third-party travel professionals, please contact them directly to amend or cancel your booking – we have advised these companies of our cancellation policy and you should refer to their terms and conditions.
Check In/Out
Rooms are available from 3:00pm on the day of arrival, and last check-in is at 10:00 pm – for later check-in please contact the hotel prior. Check-out time is at 11:00am, late check-out may be available and is subject to an additional charge. Late check-in and late check-outs are subject to availability at the discretion of the hotel. Please note our welcome reception desk is not manned 24 hours.
Offers & Promotions
Offers & Promotions are all subject to availability and only available at the hotel stated. Offers & Promotions cannot be transferred between hotels. All Offers & Promotions will state if they are applicable per person or per room. Offers & Promotions are only available on the dates outlined. All Offers & Promotions are subject to the individual cancellation policy (see cancellation policy). If booking more than 5 rooms on an offer/promotion, then the group’s Terms & conditions apply (please contact relevant hotel for these).
Hotel Details
We reserve the right to change hotel details without prior notice.
Please note:
• Electrical appliances such as toasters, mini cookers or grills are not to be used in rooms.
• You must not advertise or otherwise offer any Butcombe Pubs & Inns room for sale either on its own or as part of a package.
• All our hotels are entirely smoke-free, including the bedrooms. If you do not adhere to this law, we reserve the right to charge you an additional £200.
Child Policy
Butcombe Pubs & Inns recognise children as being 17 or under. Please be aware that individuals over 18 will be classed as adults and charged accordingly on arrival. Children aged 17 and under must be accompanied by a responsible adult to ensure that the child’s behaviour is appropriate. At the discretion of the hotel, children may be excluded from certain bedrooms.
No person under the age of 17 can check-in and stay without their parents or guardian(s) over the age of 18. The room must be booked by the accompanying parent or guardian, who must be staying in adjacent room and have key access to the room occupied by the child/children.
Inappropriate Behaviour
It is the hotels policy that all our guests and staff have the right to be treated with dignity and respect and as a responsible host we have a duty of care to our guests and staff to ensure a safe and enjoyable stay. Should the staff deem any actions by a guest inappropriate, or if any inappropriate behaviour is brought to the attention of the duty manager, the hotel reserves the right, after any allegations have been investigated, to take action against the guest. Depending on the severity of the guest actions, the police may become involved, or guests may be asked to leave the hotel.
Entertainment Licence
Butcombe Pubs & Inns are popular venues for entertainment, weddings, functions and Christmas parties. Should we have a function taking place during your stay this will not affect the standard of room booked. We would like to advise you that during functions the lounge and bar areas may be busy at times, and we ask you to bear in mind our entertainment licence may be until 12:00am and you may experience noise up to this time and further.
Dog Policy
We are pleased to welcome you and your pet as our guest at most of our Inns. For participating Inns please look for the logo on their website or contact the Inn directly. With the exception of guide dogs who are permitted throughout our Pubs & Inns;
• You will be allocated a Dog-Friendly Room (Room restrictions may apply)
• Please do not leave your pet unattended in your room.
• The Inn employees are not able to enter the room to perform their duties unless either you or a pet-sitter is present. Please contact Reception to arrange for a convenient time for servicing your room.
• Please note there is a £20.00 charge per dog per reservation.
• A maximum of two small dogs (Springer Spaniel or smaller) or one big dog per room (Labrador or bigger)
• Dogs are not permitted on any of the furniture.
• Dogs must be kept on a lead.
• We always ask you to consider our other guests and keep your dog under control.
